K can help you automatically conduct impact assessments and notify impacted users

The K impact assessment allows you to assess the impact of changes to data items and identify impacted users. Common scenarios where an impact assessment would be helpful include:

  • Checking which data assets are impacted by a potential change

  • Quickly verifying which data assets have been impacted by an incident/issue

  • Generating a list of users, data owners or stewards of impacted data assets to contact

  • Data migration analysis


Accessing Impact Assessment

You can access the Impact Assessment through the Data Applications page or the Data Item’s Profile Page (e.g. table profile)

If you select the impact assessment via the Data Item’s profile page, the data details will automatically pre-populate


Tailoring your Impact Assessment

By default, the K Impact Assessment will assess impact against the following criteria:

  • Data assets (e.g. tables)

  • Data content (e.g. reports)

  • Users (e.g. data owners, stewards and users of impacted data assets/content)

In addition to the above 3 criteria, users are able to add up to 3 additional criteria. In the below example, 3 collection types were selected for additional assessment: Verified Use Case, Classification, and PII Detected

If you need to select more than 3 criteria, after running the impact assessment, you can click on the Rerun button to duplicate the impact assessment and then choose the additional criteria.


Helpful Tips

  • Impact assessments are only available for 7 days. Remember to download a copy of the impact assessment for future reference. We recommend downloading both views (by user and by object).

  • If you click on the Rerun button and choose not to change any of the impact assessment criteria, the current impact assessment will be over-written. If you make and changes (e.g. usage period), then a new impact assessment will be generated.

  • To ensure you’ve selected the correct data item to run the impact assessment against, we recommend using the Lineage function to identify the top level data asset and then selecting the Impact Assessment tool from the Data Profile page

  • Remember to toggle between the Dashboard view and Details view for each assessment criteria. Each view is tailored to the assessment criteria that has been selected.


Sending Change and Incident Notifications using Impact Assessment

  • Open an Impact Assessment

  • Click Notify in the top menu

  • Select either Change or Incident templates to send

  • Complete the template

  • Select the impacted users to send the notification to

    • You can add non impacted users (via user look up or by adding their email if they are not onboarded to K)

  • Preview the notification and click SEND when you are ready.

Impact Assessment notifications are personalised. Each user will receive a list of their impacted items (tables, reports etc) along with the details you provided in the template.

As impact assessments are personalised, you cannot access previously sent impact assessment notificaations via K. We recommend saving a copy of the email sent from K for your record keeping purposes.
